Privacy Policy

CoachInvite (“we,” “us”) provides scheduling software for coaches and the clients who book time with them. This policy describes what information we collect, why, and what we do — and don’t do — with it.
Information we collect
- Coach accounts. When a coach signs up we collect their name, email address, and profile details they choose to add (such as a photo and booking preferences). Sign-in credentials are handled by our authentication provider (AWS Cognito); we never see or store passwords.
- Client bookings. When a client books a session we collect the name and email address they enter, the appointment time, and any message or answers to the coach’s intake questions they choose to provide. This information is shared with the coach they booked — that is its purpose.
- Technical basics. We use a session cookie to keep coaches signed in, and standard server logs (IP address, request time) to operate and secure the service. We do not use advertising or cross-site tracking cookies.
Google user data
A coach may connect their Google Calendar so that booked sessions appear on their calendar and busy times are excluded from their booking page. When connected, we access calendar free/busy information and create and update calendar events for booked sessions. Google access tokens are stored encrypted, and we access only what the scheduling features require.
CoachInvite’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we do not use Google user data for advertising, do not sell it, and do not allow humans to read it except with your explicit consent, for security purposes, or as required by law.
How we use information
To run the service: showing a coach’s availability, creating bookings, sending booking confirmations and session reminder emails, and syncing calendars. We do not sell personal information, and we do not use it for advertising.
Who we share it with
- The people you’re scheduling with. Booking details are shared between the coach and their client — that is the product.
- Service providers. We run on Amazon Web Services (hosting, storage, and email delivery). Providers process data only on our behalf.
- Legal requirements. We disclose information if required by law, or to protect the rights and safety of our users and service.
Retention and deletion
We keep information for as long as needed to provide the service. Coaches and clients may request deletion of their data — including stored Google Calendar tokens — by emailing hello@coachinvite.com. A coach may also revoke CoachInvite’s calendar access at any time from their Google account permissions.
Security
Data is encrypted in transit (HTTPS) and at rest. Access credentials and tokens are stored encrypted, and access to production systems is limited and audited.
Children
CoachInvite is not directed to children under 13, and we do not knowingly collect their personal information.
